System Requirements

All documentation is prepared using the latest version of Microsoft Word & Excel. We recommend Microsoft Office 365. Some are in template format for ongoing generation. Silver Service Level products may be housed on your Company P.C's or in the cloud (internet). We recommend Microsoft One Drive as part of your MS Office 365 subscription. Microsoft Visio is used for charts. A reader for Visio is available free from the Microsoft website. Bronze downloaded files are provided in .ZIP format. Extract software is required to see the files in the .ZIP bundle. Many free & inexpensive .ZIP systems are available if required, also included in windows 10. Type .ZIP into your search engine & download a suitable system.

Certification & Accreditation

The need for systems to be Certified or Accredited is usually defined by the client Tender or Pre-qualification documentation.
Certification typically applies to systems designed to meet a National or International Standard, eg ISO, AS, NZS, etc. Depending on Client requirements, Certification may be requested at one of 3 levels:

  • First Party Certification: This is where the Company issues a document to the Client stating that they have specified systems in place 'that meet the XXX standard'.
  • Second Party Certification: Where evidence of the system, procedures & actual site documentation is presented to the Client for audit. The Client will issue a Certificate/letter stating that the system meets XXX standard.
  • Third Party Certification: This is where the Company submits its procedures and actual completed site documentation to an external auditor. Such auditors are authorised by the issuer of the standard, e.g. the International Standards Organisation (ISO). A numbered Certificate, typically with a renewal date is issued. This is the highest level of independent certification, and allows the Company to advertise 'Quality/OHS/Environment Endorsed Company'.
  • Accreditation: Where evidence of the system, procedures & actual site documentation is presented to the Jurisdiction Client for audit. The Client will issue an Accreditation Letter stating that the system meets XXX Jurisdiction Guideline.

System Definition

System definition is the process of matching the Companies method of operation, system objectives and Client expectations against the constrains of a jurisdiction, national or international standard.
As part of the service provided at Gold, Silver & Platinum levels, Contractor Systems conducts an initial briefing to review existing Company documentation & Client requirements to determine overlaps & gaps.

Jurisdiction Legislation & COP

Laws & Regulations applicable to each jurisdiction as well as Jurisdiction Occupational Health & Safety Codes of Practice are provided with the system, for ready reference by site personnel, as part of the Gold, Silver & Platinum Service. This information is also freely available from jurisdiction websites and from the LINKS page on this website.

Certification Guarantee

Of course we cannot guarantee the outcome of an audit by a third party auditor. The Contractor Systems Guarantee is limited to circumstance where Contractor Systems have completed the service definition, the client has completed all their tasks, especially written job descriptions for the MD & senior executives and have appointed a ‘manager’ to run the system internally and Internal audits have occurred. The guarantee applies in the form of help to interpret external audit reports and the 'make goods' mandated. Typically, a requirement for special purpose procedures &/or site documents required prior to final audit.

Conforming Tenders & Prequalification

Conforming Tenders or Prequalification applications can only be successful if they are complete in all requested detail. Typically applicants are required to describe the expertise, experience & qualifications of the Company & its personnel. Other details including financial information and systems implemented are also requested. Contractor Systems can assist Companies with the definition, preparation & implementation of systems & procedures in particular covering Health & Safety, Quality Assurance and Environmental plus other systems and procedures mandated by individual jurisdictions, for example, Industrial Relations, Aboriginal Participation in the Building Industry, OHS Criteria, etc.

Resource Documents

Resource documents are the forms generated to actually run the system. Typically they are supplied in MS Word and Excel format. Some documents supplied by governments, e.g. Workplace Injury or Incident Reporting may also be in PDF or directly on line. As a consequence, where indicated in the product selections, you are supplied with the required Resource Documents for your 'home' jurisdiction and have the opportunity to add additional jurisdictions as required.
